What this does
A policy keeps a balance in hours or in dollars. It says how the balance grows, when the year resets, how much can carry over, and what happens when the employee leaves.
Start with the standard policy
- Go to Settings › Time off policies.
- Choose Add the standard vacation policy.
It pays vacation at the province's rate for each employee's years of service and pays out when they leave. Everyone who accrues vacation pay is put on it.
Add your own policy
- Choose Add a policy.
- Enter the Name. It shows on balances, requests and pay stubs.
- Pick the Kind: Vacation time (hours), Vacation pay (dollars), Sick time or Other time off.
- Pick Kept in: Hours or Dollars. It cannot change once the policy is saved.
- Pick the Accrual:
- No accrual
- Percentage of vacationable earnings
- Hours each regular pay
- Hours for each hour worked
- Hours granted each year
- Enter the Rate (%) or the Hours. On a vacation policy, leaving the rate blank uses the province's rate for the employee's years of service. Leaving the hours blank on a vacation grant uses the statutory weeks.
- Set the Balance cap. Accrual stops at it. Blank means no cap.
- Pick Year resets: Each hire anniversary, Each 1 January or Never.
- Set the Carry-over limit and what happens Above the limit: Forfeit it or Pay it out on the next pay.
- Tick Pay out on leaving to pay the remaining balance in a final pay.
- Pick Paid as, the earning that pays time taken.
- Save.
Good to know
- Vacation pay in dollars is never forfeited. It is paid out.
- Sick time can go over its balance with a warning.
- A policy with history cannot be removed. It is switched off. A switched-off policy stops accruing and takes no new requests.
- Put employees on a policy from their Time off tab. See The Time off tab on an employee.
- A bulk edit can assign a policy to many employees at once.
