What this does
The chart of accounts is your list of ledger accounts. The mapping says which account each payroll amount posts to. The journal export uses both.
Steps
- Go to Settings › Chart of accounts.
- Under Accounts, choose Add account.
- Enter the Number, Name and Type: Asset, Liability, Equity, Revenue or Expense. Leave Active on.
- Under Mapping, find each category. Pick a Debit account and a Credit account. None leaves it unmapped.
- To post one earning or deduction type somewhere else, choose Add override. Pick the Earning or deduction type and the accounts.
- Save.
A new company starts with a default chart of accounts and a default mapping.
The categories
Wages, CPP payable, EI payable, Income tax payable, QPP payable, QPIP payable, Vacation pay payable, Taxable benefits, Employer CPP, Employer EI, Employer QPP, Employer QPIP, Employer matches, Employer health tax, Workers' compensation, Health Services Fund, Net pay and Deductions payable. See What posts where in the journal.
Warnings
If a category has no account, the page warns: "Some categories have no account: a run with those amounts cannot be exported until they are mapped."
Good to know
- An item's own ledger account (set on the pay item) is used before the category mapping. See Vacation pay base, ledger account and ROE allocation.
- An account that is still mapped cannot be removed. The app makes it inactive and tells you.
- Mapping can wait. You only need it before the first journal export.
