Pay items

Vacation pay base, ledger account and ROE allocation

Three settings on a pay item that feed vacation pay, the Record of Employment and the accounting journal.

What this does

Three boxes on a pay item link it to other parts of the app: vacation pay, the Record of Employment, and the journal export.

Vacation pay base

  1. Open the earning in Settings › Earnings and deductions.
  2. Turn Vacation pay base on if vacation pay should be earned on it.
  3. Save.

Vacation pay is figured on the earnings that have this box on. A bonus that should earn vacation pay needs it on. An expense reimbursement does not.

Record of Employment allocation

On an earning, Record of Employment allocation says which pay period the amount belongs to on the Record of Employment (block 15C):

  • Period earned. The pay period in which it was earned.
  • Period paid. The pay period in which it was paid. Use this for bonuses, commissions and retroactive pay.

Insurable hours says whether the item's hours count on the Record of Employment.

Ledger account

On any pay item, Ledger account sets where the item posts in the journal export:

  • From the category mapping uses the account set for its category in Settings › Chart of accounts.
  • Pick an expense account to post an earning there instead.
  • On a deduction, pick the payable account for the amount withheld.

An item's own account takes priority over the category mapping.

Good to know

  • Set the ledger account only for the few items that need their own account.
  • If the journal export says an amount is not mapped, map its category. See Chart of accounts and mapping.
  • A GL account that is mapped cannot be deleted.
