What this does
A Record of Employment (ROE) tells Service Canada why and when someone stopped being paid. SeroPayroll drafts ROEs for you, then makes a ROE Web file to upload, or prints them.
Where drafts come from
- Approving a final pay. See Final pay.
- Set inactive with Prepare a Record of Employment draft ticked, or Prepare ROE on an inactive employee.
If no insurable pay exists, or one ROE already covers the date, no draft is made.
Steps
- Go to Year-End and choose Records of Employment.
- Read the list. Each ROE shows its status (Draft, Issued, Amended or Cancelled), "last day paid {date}" and "reason {code}".
- Tick the drafts to issue.
- Choose ROE Web file. The app checks the file against Service Canada's schema.
- If it passes, the file is saved and the ROEs become Issued. The message says "{count} ROEs issued in {name}."
- Upload the file to ROE Web.
- Choose Print to print ROEs instead.
If the file fails, the message says "The ROE Web file does not pass Service Canada's checks", and lists the problems.
Reason codes
A Service Canada code shows for each ROE: A shortage of work or end of contract or season, B strike or lockout, D illness or injury, E quit, F maternity, G retirement, H work-sharing, J apprentice training, K other, M dismissal or suspension, N leave of absence, P parental, and Z compassionate care or family caregiver.
Good to know
- Insurable hours come from the earnings marked Insurable hours, and the allocation of block 15C comes from each earning's setting. See Vacation pay base, ledger account and ROE allocation.
- The ROE Web file is not available under a trial licence.
- Amending and cancelling an ROE is in the program but has no screen yet.
- The ROE due date shows on the payroll calendar.
