What this does

The Employment tab holds hire date, province, pay group, department, location, occupation, standard hours and the time clock setting. It also holds the actions for leave, leaving and returning.

Change the province of employment

  1. Open the Employment tab and find Province of employment changes.
  2. Choose Schedule a change and pick the New province of employment and the Effective date.
  3. Save. The first pay run whose period reaches that date applies it.

From that date, pay runs switch plans (CPP and QPP, EI and QPIP). Year-to-date ceilings carry across, and slips split by province. Only one change can be scheduled at a time.

Set inactive

  1. Choose Set inactive.
  2. Pick the Reason (On leave, Seasonal or Other), Inactive from, Expected return and a note.
  3. Optionally tick Prepare a Record of Employment draft.

An inactive employee stays in the lists and is left out of pay runs. Choose Reactivate when they return.

Terminate

  1. Choose Terminate.
  2. Enter Termination date, Last day worked and Reason (Record of Employment), with a note if you want.
  3. Choose Start final pay to run the final pay. See Final pay.

The employee keeps their history. A final pay drafts the Record of Employment when it is approved.

Rehire

  1. Choose Rehire on a terminated employee.
  2. Enter the Rehire date.

Good to know

  • An employee who was paid cannot be deleted. Terminate them instead.
  • Read-only users cannot terminate, rehire or start a final pay.
  • Vacation and time-off balances pay out on final pay. See Time off: final pay payout.
  • Reasons for the Record of Employment use the Service Canada codes, such as A, E, K and M.
