What this does

When someone joins the company part-way through the year, or you move from another payroll system, enter what was already paid. These dated entries count as prior pays for CPP, EI and other ceilings, the earnings review, the slips and the Record of Employment.

Add opening balances

  1. Open the employee and choose the YTD tab.
  2. Choose Add opening balances.
  3. Pick the Tax year and As of (last pay date covered).
  4. Enter totals from the earlier system. Leave what does not apply empty. The sections are gross by earning type, taxable benefits, statutory deductions and income tax, other deductions, and balances and hours (vacation owed, sick hours, insurable hours, pay periods already paid).
  5. Save. The message says "Year to date updated".

Adjust a figure

  1. Choose Add an adjustment.
  2. Enter signed amounts. A minus sign takes away.
  3. Enter a Reason. It is required and kept in the audit log.

Void an entry

  1. Find it under Opening balances and adjustments.
  2. Choose Void and give a reason. Its amounts are taken back out of the year to date.

Import many at once

  1. Choose Import YTD from CSV.
  2. Download the template. Use one row per employee, matched by employee number.
  3. The first columns are employee_number, year, as_of and province.
  4. Columns named earning:<code>, benefit:<code> and deduction:<code> take your catalogue's codes or names.
  5. The other columns are cpp, cpp2, qpp, qpp2, ei, qpip, federal_tax, provincial_tax, vacation_owed, sick_hours, insurable_hours, periods_paid and reason.
  6. Check the preview and choose Import. Rows with problems are skipped.

Good to know

  • The tab also shows Year to date for the year as posted by pay runs.
  • Enter opening balances once. A later correction is an adjustment with a reason.
  • Mid-year pay runs reduce CPP and EI by what is already in the year to date.
