What this does

A direct deposit file lists the net pay of employees who have a bank account. You upload it to your bank's payroll deposit service. The bank moves the money.

Before the first live run

  1. Set up the bank profile. See Bank originator setup.
  2. Make a Test file and send it to your bank. Wait for the bank to accept it.

Make a file

  1. Go to Payments and pick the run.
  2. Open the Deposits tab.
  3. Pick the Originator profile.
  4. Tick the payments, or choose Select all. The line shows "{count} selected · {total}".
  5. Set the Value date (funds available).
  6. Choose Create file.
  7. The file is saved. The message says "Upload it to your bank, then mark it sent".
  8. After you upload it, choose Mark sent.

Test file

Choose Test file. The message says "Nothing was recorded", so no file creation number is used.

Problems with the file

The app refuses to create a file that is not valid. It lists "Problems with the file". Examples:

  • The file does not hold every selected payment, or the payments do not add up to the total.
  • The originator ID, short name or long name is missing or wrong.
  • The institution number is not 3 digits, or the transit number is not 5 digits.
  • The institution and transit numbers look swapped.
  • The account number has the wrong length for this bank.
  • The value date is too far from today for this bank.

A refused file uses no file creation number.

Void a file

  1. Open Files not sent yet.
  2. Choose Void file.
  3. The payments go back to pending. Do not upload the file. Its file creation number is not used again.

A file that was sent cannot be voided. Download again saves the file once more.

Good to know

  • Files are made for the bank profiles RBC, TD (two layouts), BMO, Scotiabank, CIBC, Desjardins and a generic Standard 005 profile.
  • A deposit file is not available under a trial licence.
  • The Payments Batch history lists every file. See Batch history.
