Troubleshooting and FAQ

The bank refused the deposit file

Steps to take when your bank rejects a CPA-005 direct deposit file.

On this page

What this does

The app checks a deposit file before it saves it, but only your bank can accept it. If the bank rejects a file, check these things.

Steps

  1. Read the bank's error. Banks usually say which field or record failed.
  2. Open Settings › Payment originators and check the profile:
    • The Originator ID.
    • The Short name and Long name.
    • The Destination data centre, five digits from the bank's set-up letter.
    • The Settlement account.
    • The Currency.
  3. Check the Next file creation number. It must follow the bank's count. When you move from another system, match the bank's last number.
  4. Check the Value date on the file. Some banks refuse dates too far from today.
  5. Check each employee's institution (3 digits), transit (5 digits) and account number. The app warns if they look swapped.
  6. Void the file in Payments if it was not sent. Make a new one. A voided file's number is not used again.
  7. Send a Test file to the bank and wait for its reply before the live file.

About bank profiles

Rules are checked against the bank's own published layout for RBC and Desjardins. Other profiles use older or third-party copies, or the standard layout, and show Send a test file first. The line endings for RBC and TD 1464-byte files are not confirmed. The bank may ask for a different one. Tell us what the bank says.

Good to know

  • The app cannot see the bank's reply. Keep the bank's confirmation with your records.
  • A file that was marked sent cannot be voided. Ask the bank how to recall it.
  • If an employee's pay was in a refused file, nothing else is needed after you make a good file. Mark the new file sent.
