What this does

If Approve is switched off or the app refuses it, one of these is the reason.

Reasons and fixes

  • An employee was not calculated. "Some employees could not be calculated. Fix them or take them out of the run, then calculate again." Open the employee with Not calculated, read the reason, fix it, then choose Calculate again. Or use Hold.
  • The run needs a new calculation. After any edit to hours or amounts, choose Calculate again.
  • Another run was approved first. "Another run was approved since this one was calculated. Calculate again, then approve."
  • No hourly rate. Add a rate on the employee's Pay tab.
  • No pay group. "The pay group is missing. Check the employee's pay group in their Employment tab."
  • A final pay with no termination. "A final pay needs the employee's termination recorded first."
  • A cloud conflict. "Records on this pay run were changed on two computers. Choose which version to keep before approving." See Conflicts: Keep mine or Keep theirs.
  • The run is read-only on this computer. Another computer has the lease. See Pay run leases.
  • The licence does not allow it. "The licence does not allow new pay runs right now." See The licence is read-only.
  • Your role. "Your role can't do this. Ask an admin." Read-only users cannot approve.
  • The run is already approved. "This run is approved and locked. Correct or reverse it instead."
  • The tax tables did not load. The dashboard says "The tax tables could not be loaded, so no pay can be calculated". See Tax tables and updates.

Good to know

  • Warnings, such as a missing SIN, do not block approval.
  • An approved run cannot be edited or deleted. Use a correction or a reversal.
