Backups and restore

How automatic and manual backups work, and how to restore one as a separate company.

What this does

A backup is an exact copy of the encrypted company file. It opens with the password that was current when the copy was made. Restoring never changes your current file.

When backups are made

  • Once a day, when you open the company.
  • Before you approve a pay run, pay one, or reverse one.
  • Before a filing and before a password change.
  • Before a restore.
  • When you choose Back up now.

The newest 30 backups are kept for each company.

Back up now

  1. Go to Settings › Data and security.
  2. Under Backups, choose Back up now.
  3. The message says "Backup saved". The list shows each copy with its date and size.

Restore a backup

  1. In Settings › Data and security › Backups, find the copy.
  2. Choose Restore as a copy. It opens as a separate company file beside this one. Nothing in the current file changes.

You can also choose Restore from a backup… on the Welcome screen.

Save a copy anywhere

Choose Save a copy to… under Company file and pick a folder. The file name includes the date and time.

Check the company file

Choose Check the company file. The app reads every page of the file and reports "The company file is healthy" or lists problems.

Good to know

  • In the browser edition there are no folder backups. Use Download company file. See Browser edition: storage and Download company file.
  • Backups are stored in a Backups folder in the app's data, one folder for each company.
  • A read-only licence still allows backups.
  • Keep a copy somewhere other than this computer, such as a USB key or a secure cloud drive. The file is encrypted, but the password must be kept apart from it.
