What this does
The Companies screen lists every company this computer knows: its name, file, when it was last opened, size and number of employees. A menu on each row has the actions below.
Open the screen
Use any of these:
- Companies in the left menu, under the company switcher.
- Settings › Companies.
- Manage companies… in the company switcher.
Actions on a row
- Open. Opens the company.
- Rename… Changes the name and the file name. A copy under the old name is kept with the backups. Exports use the new name.
- Rename to .spr. Shown only for a company file from an earlier version (ending in .spay). It gives the file the .spr ending, keeps the name and password, and keeps a copy under the old name with the backups. Older files keep working under their old name until you do this.
- Edit details. Opens Settings › Company.
- Duplicate as template… Creates a new company with the settings and pay items of this one. It copies the profile, CRA accounts, pay groups, departments, locations, pay items, accounts, time-off policies and settings. It copies no employees, pay runs or payments. The new file gets its own password and recovery key.
- Remove from list. Takes the company off this computer's list. The file stays where it is. Use Open a company file… to bring it back.
- Delete company… Type the company name to confirm. The company file and all its backups move to a Deleted folder in the app's data. The app records an audit entry.
Deleted companies
The screen lists Deleted companies and where they went. Nothing is erased. To bring one back, open the file from that folder.
Good to know
- Delete does not erase anything, but the company disappears from this computer's list.
- A duplicate is a good way to start a new client with the same pay items.
- Rename changes the display name everywhere, including the file on disk.
