Pay runs

The hours grid and one-off amounts

Type hours and one-off amounts for each employee, then calculate.

What this does

The grid on the Hours and earnings step is where you enter the variable parts of a pay. Salaries and recurring items come in by themselves.

Steps

  1. Open the run. You are on Hours and earnings.
  2. Type hours in the hours columns. The columns follow the earnings entered as hours, such as Regular hours.
  3. Type one-off amounts in the amount columns: bonus, commission, retroactive pay and other.
  4. Move with the arrow keys, Tab and Enter. Press Esc to undo the cell.
  5. Choose Calculate.

If you change anything afterwards, choose Calculate again. Every edit needs a new calculation before you can approve.

Rules for entries

  • Hours: 0 to 744, with at most two decimals.
  • Amounts: dollars, like 250 or 1250.50.

Overtime

The Auto OT switch splits overtime from the regular hours by the province's rule when you calculate. For an employee whose overtime is banked as time off in lieu, or who is exempt, hours are not split.

Holiday pay and other generated rows

When you calculate, the app adds rows by itself. They are marked as calculated:

  • Statutory holiday pay for holidays inside the period.
  • Overtime split from the hours.
  • Salary and vacation pay.
  • Time-off pay for approved time off.

Good to know

  • Each cell saves when you leave it. Cells you typed and did not leave are kept in a draft. See Drafts and "Resume where you left off".
  • The bottom row shows totals. On a phone, a summary line shows employees, gross and net.
  • Other one-off earnings come in through the timesheet file. See Import a timesheet CSV.
