What this does
A timesheet file fills the grid from a spreadsheet. The file is plain CSV with one row for each entry.
Steps
- Open the run at Hours and earnings.
- Choose Timesheet template to save a sample file.
- Fill in the file.
- Choose Import timesheet and pick the file.
- Read the summary, for example "{rows} rows for {employees} employees; {errors} rows refused".
- Check Rows refused, then choose Apply to {count} employees.
- Choose Calculate.
The columns
employee_number,earning_code,hours,amount,date
1001,regular,80,,
1001,overtime,4.5,,2026-10-08
1002,regular,37.5,28.00,
1003,bonus,,500.00,
- employee_number. As on the employee's Profile. The employee must be in the run.
- earning_code. A code from your earnings catalogue, such as regular, overtime, double_time, bonus, commission, retroactive or a code you added. Case does not matter.
- hours. For an earning entered as hours. Up to two decimals.
- amount. For an earning entered as an amount, the dollars (500, 500.00 or $1,250.50). For an earning entered as hours it is optional, and is the hourly rate for those hours. Blank means the employee's own rate.
- date. Optional, YYYY-MM-DD, inside the pay period. Regular hours with a date are kept day by day so daily overtime rules can apply.
The separator can be a comma, a semicolon or a tab. The header row is optional. Some other heading names are accepted, such as employee, code, rate and day.
Why a row is refused
- No employee number, or no employee in the run has that number.
- The code is not an earning in the catalogue.
- Hours are not 0 to 744 with at most two decimals.
- The amount is not a dollar amount.
- The date is not YYYY-MM-DD, or is outside the pay period.
- The earning is an amount, not hours (or the other way round).
- The row has no hours and no amount.
Good to know
- Rows for the same employee and earning add up.
- For each employee in the file, the hours and amounts of the codes the file names replace what the grid had. Everything else stays.
- Refused rows are skipped. The rest is applied.
