What this does

A pay run works out the pay for one group of employees for one period. It moves through four steps, and the run page shows which step you are on.

The steps

  1. Hours and earnings. Enter hours and one-off amounts, or import a timesheet. Choose Calculate.
  2. Review and approve. Read each employee's pay and the warnings. Choose Approve.
  3. Pay. Mark the run paid, then make the deposit file, cheques or e-transfer list.
  4. Stubs. Print, save or email the pay stubs.

The statuses

A run shows one status: Draft, Calculated, Approved, Paid, Filed or Reversed. The pay run list has filters All, Needs action and Done.

The kinds of run

  • Regular pay. The next period of a pay group.
  • Off-cycle pay. An extra pay outside the schedule for people you pick.
  • Bonus. A bonus, commission or retroactive pay on its own.
  • Final pay. The last pay of someone who left.
  • Correction. Fixes an approved pay. Only the difference is posted.
  • Reversal. Takes an approved run back out. The app makes it for you.

Start a run

  1. Go to Pay Runs and choose New pay run, or press Ctrl+N.
  2. Follow the wizard. See Start a regular pay run.

Good to know

  • Approving locks the run. After that you correct or reverse it.
  • The app makes a backup of the company file before you approve, pay or reverse.
  • A run that was never approved can be deleted. Nothing was posted.
  • Your licence must allow new pay runs. See Licence banners and read-only mode.
