Change frequency, first period or pay date offset, and how earlier periods keep the old schedule.

What this does

A pay group has a name, a pay frequency, a first period end and a pay date offset. You can change them in Settings, with rules that protect pays already made.

Steps

  1. Go to Settings › Pay groups.
  2. Open the group.
  3. Change the Pay group name, Pay frequency, First period ends or Pay date, days after period end.
  4. If pays were already posted, enter the date New schedule takes effect on.
  5. Save.

The rules

  • The change is refused while the group has open pay runs. Approve, pay or delete them first.
  • If no pay has been posted, the change applies to the whole group.
  • Once pays are posted, the change takes an effective date after the last posted period. Earlier periods keep the old schedule, and the first new period starts on the effective date. The group then shows a line like "Biweekly from {date}, monthly before".
  • A pay group can be switched off, but not while it has open runs.
  • A pay group with employees cannot be deleted. Move them first. Show employees opens the filtered list, and Bulk edit can move them.

Pay frequencies

  • Weekly (52 pays)
  • Biweekly (26 pays)
  • Semimonthly (24 pays)
  • Monthly (12 pays)

Good to know

  • The pay run wizard uses the group's next period and the pay date offset.
  • The pay date you enter in the wizard can differ for one run.
  • The payroll calendar follows the group's schedule history.
