What this does
Stubs can be printed, saved to a folder or emailed. An emailed stub is a PDF. The PDF can be protected with a password.
Before you email
- Set up email in Settings › Email. See Email (SMTP) and stub delivery.
- Check each employee has an email address and, for protection, a date of birth.
Steps
- On the Stubs step, choose Email stubs.
- The page tells you how many employees have no email address and how many have no date of birth.
- Choose Send {count}, and confirm "Email {count} stubs?". Each employee gets their own stub.
- Watch the progress, "{done} of {total} sent".
- Read Not emailed for anyone skipped, with the reason.
The PDF password
In Settings › Stub template choose the rule:
- Date of birth, DDMMYYYY. For 15 March 1985 the password is 15031985. This is the default.
- Date of birth, YYYYMMDD. 19850315.
- Employee number and birth year. Employee A1042, born 1985: A10421985.
The email tells the employee how the password is formed. It never says the password. The SIN is never used.
Good to know
- An employee with no date of birth (or no employee number for that rule) is reported and not emailed. There is no fallback.
- The mail goes through your own mail server, only when you press send.
- The browser edition cannot send email. Save the PDF and attach it yourself.
- Each send is recorded in the audit log, without the password.
- A birth date is easy to guess for someone who knows the person. The protection guards a stub sent to the wrong address. It is not strong security.
- Under a trial licence, the subject starts with "[TRIAL]".
