What this does

The stub template sets the look of every pay stub, the rule for the PDF password and the words of the stub email.

Steps

  1. Go to Settings › Stub template.
  2. Under On the stub, switch on or off:
    • Company logo
    • Year-to-date column
    • Hours and rates
    • Vacation pay balance
    • What the employer pays on the employee's behalf (CPP, EI, matches)
  3. Enter the Footer, for example who to call with questions. It can have up to 500 characters.
  4. Under PDF password, tick Password-protect emailed PDFs and pick the rule Password.
  5. Under Email, write the Subject and Message.
  6. Check How the email reads and the sample stub.
  7. Save.

Placeholders

In the subject and message, use {employee}, {firstName}, {payDate}, {company} and {passwordHint}. If protection is on and the message leaves out {passwordHint}, the hint is added at the end.

Password rules

  • Date of birth, DDMMYYYY.
  • Date of birth, YYYYMMDD.
  • Employee number and birth year.

Good to know

  • Changes apply to every stub printed, saved or emailed from now on, reprints included.
  • The company logo shows only if a logo is stored in the company file. The app has no screen to add one yet.
  • A stub says it is a statement of earnings and not a T4 or RL-1.
  • A birth date can be guessed by someone who knows the employee. The protection guards a stub sent to the wrong address.
