What this does
Without users, anyone who opens a company file with its password can do everything. With users, each person signs in with a PIN and has a role. Users live in the company file, so they travel with it.
Add the first admin
- Go to Settings › Users and roles. The page says "No users yet".
- Choose Add the first admin.
- Enter the Name, a PIN (4 to 8 digits) and PIN again.
- Save.
The first user must be an admin.
Add more users
- Choose Add user.
- Enter the name and PIN, and pick the Role.
- Save.
The roles
- Admin. Everything: employees, pay runs, settings, users, the licence, and full SIN and bank numbers.
- Payroll. Employees, pay runs (create, calculate, approve, pay), remittances, time off, reports and returns. Not settings or users. A full SIN or bank number needs an admin's PIN.
- Read-only. View, print and export only.
Day to day
- With more than one user, the app asks "Who is signing in?" and then "Enter your PIN".
- The company menu has Switch user and Sign out.
- A user can Change my PIN with the current PIN.
- An admin can Reset PIN, Edit, Deactivate or Reactivate a user. A deactivated user can no longer sign in. Their name stays in the history.
- The company needs at least one active admin.
What happens when a role cannot do something
Buttons are switched off. If an action still gets through, the message says "Your role can't do this. Ask an admin."
Good to know
- After wrong PINs the app counts the tries left and then locks for a short time.
- Viewing a full SIN or bank number needs an admin's PIN. The history says who approved it and who asked.
- A role applies to the company file, not to your SeroPayroll account.
- With a single user mode (no users), the company password is asked for a full SIN or bank number.
